Medspa Info & Policies

Scheduling:

Cool Renew MedSpa is always buzzing so appointments are required for ALL services and consultations.  We encourage you to schedule appointments well in advance, especially prior to major holidays.  Please note that upon scheduling your appointment, you may be asked to provide a credit card number to reserve your treatment appointment time.  


**Please understand we value our time with each client and specifically reserve a staff member(s), a room and equipment just for you.  We never double book to ensure that each client receives a relaxing and individualized treatment.**


Please refer to our cancellation policy prior to reserving your appointment time.  Scheduling an appointment is your agreement and acceptance of this policy.


If you are booking an appointment for Botox/Fillers you will be required to pre-pay a $50 consultation/appointment reservation fee in order to schedule that appointment time.   That $50 fee will be applied to your Botox/Filler treatment IF you treat the same day & time as your consult.  If you choose/decide not to treat that day and/or you are not eligible to be treated the $50 fee is not refundable.   If you fail to show up for you scheduled Botox/Filler consultation and/or treatment appointment for any reason without giving at least a 48 hour notice, you will forfeit that $50 deposit.

Consultations for all services (with the exception of Botox/Fillers/Injectables) are complimentary.  If you are scheduled for a complimentary consultation and if you fail to show up for that appointment without giving at least a 48 hour advance notice, you will be required to pay a $50 consultation deposit in order to make another consultation appointment.  If you fail to show up for your 2nd consultation appointment, we reserve the right to not schedule you again.

 

A Visa, Mastercard, Discover, or American Express credit card may be required to hold your appointment(s).   We observe strict privacy policies and will not disclose this information to any other party.  Your credit card number will be securely kept in your history file.

If you arrive for a scheduled treatment appointment and decide not to receive any services, there will be a minimum charge of at least $50 or more, depending on services and amount of time scheduled, as this is considered a cancellation.


Appointment Reminder Policy:

As a courtesy to our clients, we will attempt to send you a text message reminder 24 hours prior to the scheduled service.  If you choose not to provide us with your cell phone number, we are unable to offer you a reminder.  Should the appointment reminder system fail for any reason and you do not receive an appointment reminder, it is still your responsibility to manage your appointment and adhere to the cancellation policy.


Arrival:

Please arrive 5-10 minutes prior to your appointment so you’ll have plenty of time to unwind and do any paperwork that may be required.   Arriving late may limit the amount of your treatment time, as your appointment will end at the scheduled time to accommodate the next patient’s appointment.  We will do our best to accommodate you, however, in some cases it may be necessary to reschedule your appointment.  In such cases, the cancellation policy will apply.


Cancellation Policy:

Should you need to cancel, please do so at least 48 hours in advance of your scheduled appointment.  You can contact us via phone, email or text.   If you cancel with less than 48 hours’ notice, your credit card on file will be charged the cancellation fee.  If we do not have a credit card on file for you, the cancellation fee must be paid before we can schedule your next visit.    Appointments scheduled for a Monday must be cancelled/rescheduled by 3pm on Friday in order to avoid cancellation fees.   Should you arrive late for a scheduled appointment and time does not allow us to perform some or all of your treatment, the full amount of the service or the cancellation fee (whichever is greater) will be charged to your credit card on file.


The cancellation/no show fee for Botox/Fillers/ Injections is $50.  

The cancellation/no show fee for waxing/brow services is $20. 

The cancellation/no show fee for all other services and consultations is $50.

No Show Policy:

If you do not arrive at your scheduled appointment without providing 48 hours advance notification, the service will be considered rendered and you will either be charged the full amount of the service or the cancellation fee, whichever is greater.


Payment/Return/Refund Policies:

Payment for all individual treatments is due at the time of treatment, and all packages/pre-paid services must be paid in full at the time of purchase unless otherwise agreed upon in writing.  After 7 calendar days from date of purchase or after initiation of a treatment package, whichever comes first, packages/pre-paid services are non-refundable.  All treatments and packages are non-transferable and non-refundable and expire one year from the purchase date.   Any unused portion of a package/pre-paid services will not be refunded.  We do not offer refunds on services rendered.  Aesthetic results are quite variable from person to person and while we do our best to achieve the desired outcome it cannot always be guaranteed.  Clients are responsible for further treatments needed to achieve further results.


Product Return Policy:

We think our products are the best and we think you’ll enjoy them just as much.  But if you are unhappy with a product purchase from Cool Renew MedSpa, please return the unopened/unused item with a dated receipt within 7 days of purchase and we will gladly refund or exchange the item.  Unopened items returned after 7 days with proof of purchase will be refunded a store credit only.  Due to health regulations, we cannot accept opened and /or used returns. Exception: A refund, store credit or product exchange may be given for any opened item that is returned due to a documented adverse reaction that a client has experienced while using that product.  The client must consult with a technician prior to receiving a credit or exchange of the product.


Gift certificates:

Gift certificates are not returnable nor redeemable for cash.  They cannot be used for gratuities, membership programs and they cannot be replaced if lost or stolen.  Gift Certificates are valid for one year from the purchase date.


Treatment Outcomes:

We will be honest in all our dealings with you as our trusted client.  Aesthetics is not an exact science and how you may respond to a given treatment will vary from person to person.   It is virtually impossible to predict results and therefore payments made for services are for treatments to be performed – not for a specific result.   However, we always strive to achieve the absolute best result that we can for you.  Thank you for allowing us to serve you!

 

Prices & Promotions:

We are committed to continuously expanding our services to ensure we bring you the latest and greatest technology.   Special offers and discounts may not be combined.  When presented with more than one discount opportunity, we will automatically give clients the discount of greater value at the time of purchase.  If for some reason a promotion discount occurs after you paid for a treatment and/or package, no adjustment can be made.

 

Referral Program:

Refer a New Client to our practice and receive a $50 credit towards any service on your account after the New Client’s first treatment over $200 is complete.  You must use your credit within one year.  There is no cash value associated with this credit to your account as it will only be applied toward a service.  The New Client MUST inform us at their time of service which Current Client referred them.

 

Treatment Expiration:

Service packages and pre-paid treatments (except Laser Hair Removal) must be used within 12 months of the date of purchase or they will expire.  Laser Hair Removal packages must be used within 24 months of date of purchase or they will expire.

 

Personal Belongings:

Personal belonging are the full responsibility of the medspa guest and should be kept in your possession at all times.   Cool Renew Medspa is not responsible for lost, stolen, misplaced or damaged items. 

 

Practice-Patient Relationship:

We love our clients but sometimes we have to reserve the right to refuse service at any time, to anyone, for any reason.

 

Gratuities: 

Gratuities are at your discretion and are not expected but are always appreciated by our technicians.  What you choose to give depends on your level of satisfaction and is not a percentage of your treatment cost.

 

Full Disclosure:  

Our #1 goal is for you to be happy with our service and to love the results you achieve.  We believe in full disclosure, which means we strive to ensure that you understand the treatments you receive and the risks and benefits associated with each of them.  With this in mind, please be assured that our team will only recommend treatments and products that will benefit you specifically, and which are medically appropriate for you.  If you have any questions, at any time, please ask!  We are here to help.
